Exhibition Stand Booking Procedure

Bookings will open in September 2025 as follows:

Please do not submit any booking preferences for stands under 54 sqm until 1400hrs (BST) on Monday 8 September 2025, and under 36 sqm until 1400hrs (BST) on Thursday 11 September 2025, as these will not be processed.

The link to the booking page will be sent to all the IMC21 exhibitor contacts on the days the different windows open but the links will not be active until 1400hrs (BST) on each of the booking days. If you would like to add additional colleagues to the IMC21 exhibitor email, please ask them to register their interest HERE.

To submit a booking you will need an online RMS account set up in your own name. If you have not already done so, you will need to create an online account to view and submit the sponsorship request form. To do this, go to the RMS Website Login page and 'Register for a website account'. We recommend setting up your account in advance to avoid any delay as stands will be allocated strictly on a first-come, first-served basis according to the date and time the submission is received.

How to book an Exhibition Stand for IMC21

• Please note that the floorplan will be updated on an ongoing basis as exhibition stands are booked, so it is essential that your preferences are chosen from those available at the time of submitting your request. The floorplan can be viewed HERE.
• Click on the IMC21 Event Booking Page Link on the email which will be sent out on the day bookings open, and login into your RMS account. 
• Select the ticket 'IMC21 Exhibition Stand - Please note, price will be calculated based on your stand selection'.

The price will be calculated based on the size of the stand allocated, at the price per sqm at the time of booking. An invoice and contract will be sent after your stand allocation has been confirmed. The Exhibition Stands will be calculated at the following prices:

Complete the following sections

1. Personal Information

• Submit your personal and company details.

2. Stand Booking Preferred Options Questions

• Confirm you are booking the correct number of sqm for your booking to be processed (Yes/No).
• Are you an ICMA Member (Yes/No).
• Package Shell Scheme Stand or Space Only Stand (Tick your selection).
• List your 5 stand preferences selected from those available on the floorplan at the time of your submission. It will be mandatory to select 5 stand preferences, and please enter each individual stand number you would like to have. 

Example Stand Choices:

If selecting a stand of 54 sqm and over you would need to select a minimum of 6 stand numbers, as each block is 9 sqm.

3. Company Information

• Confirm how you would like your company name listed.
• Submit a current JPEG or PNG logo for your company.
• List a website URL for your logo to be linked to.
• A post-event survey contact name and email address.

4. Invoice Details

• Invoice contact name and their email address.
• Company invoice postal address.
• Purchase Order Number (where applicable).
• VAT number (where applicable).

Once you have submitted your exhibition booking request you will receive an automated confirmation that it has been received. A member of the RMS team will be in contact by email within 5 working days to confirm your exhibition stand allocation and to send you your contract and invoice.
